Meetings Live

Meetings Live digitizes and automates the process of collecting information on actual attendance and voting results using Meetings Plus by Formpipe. It is closely integrated with Formpipe's case and document management systems, Platina and W3D3. This allows for the right information to be collected in the right way and place without any manual intervention.

DIFFERENT FEATURES FOR DIFFERENT USERS

Meetings Live consists of three different interfaces focused on three functional areas: attendance, speaker list, and voting/polling. By optimizing the interface based on the user and limiting functions, the risk of potential errors is minimized. The three interfaces are:

  • Secretary interface
  • Meeting participant interface - Meetings Plus App
  • Two public interfaces - one that can be displayed on a screen in the room and one that can be used for publishing in a webcast

ATTENDANCE, CONFLICT OF INTEREST, AND SUBSTITUTE

In the Meetings Plus App, as a meeting participant, you can register your attendance in a meeting and indicate if you need to leave and thus be absent. Everything registered in the app is also displayed in the secretary interface.

This means that as a secretary, you can monitor what is happening and make necessary adjustments depending on how the meeting develops. Information about meeting participants such as name, role, and political party is available. It is also possible to register if someone has a conflict of interest. If someone is absent or has a conflict of interest, they are not eligible to vote and a substitute can be appointed.

Speakers list

The speaker list shows who will speak in a debate on an issue.

As a meeting participant in the Meetings Plus App, you can view the speaker list with information about who will speak, who wants to give a reply, and how much time is left for the current speaking time. You also have the option to raise your hand by requesting the floor or reply.

As a secretary, you can monitor the speaker list from your interface and see how it fills up as elected officials choose to request the floor or reply via the Meetings Plus App. You can also add speakers and replies and perform tasks such as starting, pausing, or stopping ongoing posts.

The public interface displays the speaker list with replies, who is speaking, and how much time is left.

Voting

If a vote has been requested on an issue, you as a secretary can create one. This is done by entering a title and description of what is being voted on and what the different options mean (Order of propositions). Then it is started.

Elected officials will be prompted to vote by clicking "Yes," "No," or "Abstain" in the Meetings Plus App, while the secretary monitors and sees who has voted and what they have voted for. When the vote is over, the result is presented with information on what was voted on, how many voted, what they voted for, and how many voted for what, in the Meetings Plus App and the secretary's interface.

When a decision has been made on an issue, either through voting or in some other way, a meeting participant can choose to object to the decision via the Meetings Plus app. The participant can choose to provide a note on why they chose to object or just object without any notes. Until the meeting is over, the logged-in user can edit this, remove the reservation, or remove/change the current text. The information will appear in the secretary's interface. Reservations can also be created and edited from the secretary's interface.

The public interface displays if a vote is taking place, what it is being voted on, and who will be voting. With colors and icons, it clearly shows who has voted yes, voted no, voted to abstain, or who has not yet voted.
