New e-archive solution from Formpipe

When a new e-archive solution was needed, Regionarkivet Stocholm (the Stockholm Region Archive) had no desire to continue working with their proprietary solution. Instead, a choice was made – via a suborder from the SKI framework agreement – to invest in Long-Term Archive from Formpipe for further development of its digital conservation measures. 

A few years later, the solution is now in place and long-term archiving is futureproofed.

Regionarkivet early to market

Regionarkivet Stockholm is responsible for final archiving of all information from the region of Stockholm. An archive authority in its true sense, and with a clear remit to preserve and conserve digital information so that it can still be read down the ages. For success in this endeavour, systems are needed that are cost-effective to administer and can help with guaranteeing a modern IT infrastructure with effective processes.

It is hardly surprising that Regionarkivet’s efforts to initiate e-archive work came early on. Initially, they fabricated a solution of their own using a range of standard components. One of the main reasons for this is that there were no off-the-peg commercial products available for this purpose at that time. However, as their needs and the complexity of the system increased, they realised that a holistic third-party solution was required.

Long-Term Archive 

Regionarkivet opted to procure from SKI's framework agreement. The winning bid came from Formpipe in the form of Long-Term Archive. Ultimately, it was a rather straightforward choice as the existing system was to be phased out.

“We needed an overall assessment in which the important components were administration capability, scalability, search options, customisability in respect of information structures and self-descriptive storage,” says Martin Olsson, administration manager at Regionarkivet. 

Regionarkivet has managed to get its new e-archive solution up and running in a short time. But above all, they have set the stage for future development. Going forward, they have plans to extend delivery types. This will make it possible to phase out old systems and relieve the load on existing systems. Moreover, there are well-developed plans to streamline access to archived material by means of smart functions that will make it easier to search for and retrieve information.

Success factors 

Given the fact that Regionarkivet works specifically with archiving issues, the conditions were already good. They had previously worked with another e-archive system and were well aware of their needs and areas requiring development. A clear plan for the introduction of Long-Term Archive was key, but it was every bit as important to define milestones for future projects and areas in which the system was to undergo further development.
