The Swedish Arts Council uses the strength from W3D3 by Formpipe and Microsoft Teams
When the pandemic came, many people saw the rescue in Microsoft Teams, especially when the majority became homeworkers in a very short time. The Swedish Arts Council was no exception and quickly discovered that most conversations took place via Teams.
- How could we best capture the documents and management that was performed in Teams? We did not want anything to end up outside the diary, says Anders Olofsson, coordinator of art applications and purchasing, the Swedish Arts Council.
The answer and thus the solution was to integrate the existing record keeping system, W3D3 by Formpipe, with Microsoft Teams.

Distance resulted in a need for secure sharing of documents
Overnight, life changed for many when the news came that a new corona virus was spreading rapidly around the world. For the Swedish Arts Council, Microsoft Teams became the rescue for the distance communication that was a must due to the restrictions.
It did not take long before a necessity was discovered to be able to ensure the sharing of documents so that they did not end up outside the diary. Then Formpipe together with Microsoft presented the newly developed product, Teams for W3D3.
Teams for W3D3
Previously, the Swedish Arts Council has used plug-ins for office programs, where the disadvantage has been to sit at the client level.
The easy-to-navigate interface in Teams for W3D3 has resulted in improved user-friendliness that facilitated record keeping.
- Keeping a diary in Teams is much easier as you only see what you need to see. If there is also a lack of long experience in record keeping, there is a certain threshold to cross, something that is eliminated thanks to this solution, says Anders.
Improved conditions for working on distance
What the future holds remains to be seen, but the conditions for working remotely have improved thanks to digital solutions such as Teams for W3D3. Something the Swedish Arts Council perceives as very positive.
- I believe that the future will mean that we have a greater need to run the services between different units. To match a way of working that is not based on the limitation of only having to sit in case management systems, but to find a synergy between the different systems where it is possible to find case management in Teams, Anders Olofsson concludes.
