Minimum Effort Ingestion

MEI comes as standard with Formpipe

At Formpipe we focus on a minimum effort ingestion in all our preservation projects.

We understand  that our clients tend to be resource poor with internal teams who are focussed on revenue generation so we take the away the risk that the ingestion stage of your project will drag on and delay the solution going live and concentrate on making your project is a success, delivered on time and starts saving you money as soon as possible.  

Look beyond preservation

Our delivery teams understand a huge range of ‘day to day’ business systems such as DMSs, ERPs, CRMs, Databases and various industry specific products. Their knowledge of how data and objects are delivered from these systems reduces the amount of time required to configure the preservation platform correctly to reflect the solution you require, they will lead the requirements stage and introduce best practice for you to follow. This approach is then supported by our migration tool which delivers a visual ingestion process allowing for objects to be converted and metadata to be built based on properties or the content.

The migration tool enables our solution to accept documents, files, objects and data from almost any source system. Once within the tool you are able to select a pre-configured workflow or create your own client driven configuration to apply preservation conversions, rule based steps and develop & enrich metadata before releasing the output files to Long-Term Archive for ingestion. Naturally you can also use the migration tool for more than just preservation activity and your own administration can be taught how to use the simple drag and drop workflow engine, negating the need for Formpipe to be used for configuration.  

Find your best practice

Formpipe have then gone a stage further and created a simple tool to enable day to day preservation from your User’s own network and workstation. Meta allows any printable file to be collected from the print queue and travel through a simple metadata identification stage before being ingested to the archive it has been prescribed to live within. This enables Digital Preservation Best Practice to be employed without leaving day to day systems or interrupting Business as Usual. Users do not need to see or interact with the archive but can post to it with minimal effort.  

Following the true MEI principles from the Danish Library, Long Term archive can also be used as a repository for data and objects whilst a decision is being made on how to treat the content and conduct the adequate QA process. It brings a safe and robust location to store your information whilst investigating what can be deleted, what needs to be retained, how long that retention period needs to be and what permissions need to be applied. This is often utilised during a system upgrade process when not all historic data needs to be taken over to the new system being implemented.  

Reducing the effort associated with the ingestion brings you closer to going live with a compliant, accessible product and going live brings you closer to being able to turn off the legacy systems and start recognising cost savings.
