A role model for a digitalized meeting process
Arboga Municipality has collaborated with Formpipe for over two decades. Core products like W3D3 and Meetings Plus have long been established tools, and the municipality was an early adopter of a digitalized council process. Both politicians and municipal employees are now well-acquainted with the digital workflow.
This long-standing relationship with Arboga has provided Formpipe with deep insights into the municipality's needs and requirements. When Meetings Live was first introduced, the municipality quickly embraced the solution, becoming Formpipe’s first pilot customer for the new product.
– I heard about Meetings Live three years ago, and even the first draft seemed well thought-out and promising. Using Meetings Live will significantly streamline our daily meetings and enhance the development of our digitalized meeting process, says Carl Björnberg, Digitalization Coordinator at Arboga Municipality.
Improving the entire council process
Meetings Live digitalizes and automates the management of attendance, speaker lists, and voting during municipal council meetings. The collection of information, attendance tracking, and voting results is facilitated by Meetings Plus, which is closely integrated with the case and document management systems Platina and W3D3.
Before implementing Meetings Live, the council used analog roll calls, speaker lists were managed manually by the chairperson, and votes were recorded with pen and paper. Meetings Live increases efficiency and accessibility as participants' recorded values are entered directly into the system. This information is then sent back to Platina or W3D3 for further processing.
Facilitating collaboration
Meetings Live is optimized for users with three distinct interfaces for attendance, speaker lists, and voting. By tailoring the interface to the user and limiting the functionality for each role, the risk of errors is minimized. Meetings Live thereby facilitates collaboration between secretaries and elected officials.
In his role as Digitalization Coordinator, Carl Björnberg plays a key role in driving and ensuring the quality of Arboga’s digital development. This work involves collaborating with the municipality’s managers and staff to support and coordinate various forums and working groups.
– It’s important to identify the needs of development and create opportunities for continued digitalization. This also means efficiency benefits for citizens through simplified processes and smarter services, says Carl Björnberg.
